Learning Nodes. Effective 16 October 2026.
1. About this policy
1.1 This policy explains how Learning Nodes ("we", "us") collects, uses and shares personal information when you use our websites and products.
1.2 It covers www.learningnodes.com, the Workstation at workstation.learningnodes.com, our guide, docs and academy sites, the pages we host for the open-source Elen project, and our forms, booking page and messages. Together these are "the Service".
1.3 Elen runs on your own machine and keeps decisions in a file there. If you connect Elen to our hosted service, this policy covers the information that connection sends us.
2. Summary
| Question | Answer |
|---|---|
| What do you keep when I am signed in? | Your account details, the content you enter, your Decision Records and a record of your usage. |
| Who processes my content? | Our service providers, including our AI provider (currently xAI), so the Service can work. |
| Is my content used to train AI models? | Not for Pro (business) workspaces. For Free and Starter accounts, we may use content to improve the Service, including our AI features (section 6). |
| Do you sell my personal information? | No. |
| Can I close my account? | Yes. Section 10 explains how. |
3. What we collect
3.1 Account details: your name, email address, sign-in method (email and password, or Google) and workspace details.
3.2 Content you submit: situation text, notes, business questions, answers, options and the Decision Records you commit.
3.3 Files and data: CSV files you attach for Answer from data, and other files you attach. Section 4 explains what leaves your browser.
3.4 Connected services: if you import from ClickUp, the task names and text from the lists you choose.
3.5 Form and booking answers: what you enter when you join a waitlist, apply to a program or book a demo, such as your name, work email, role, company and the decision you are facing.
3.6 Messages you send us and their attachments.
3.7 Usage and billing information: the AI calls you use, your plan, payment status and activity in the Service. Payments are handled by Stripe, and we do not see full card numbers.
3.8 Technical information: pages visited and button events (section 8), and your internet address, which we use to apply rate limits and keep the Service secure.
4. How content and data are handled
Situation text is saved on our server when you are signed in and is sent to xAI, our AI provider. xAI states it does not train on API data without permission and keeps requests for 30 days by default. The rows of a CSV are read in your browser, and the AI sees column names, types, the values of columns with 20 or fewer values, and the results of the queries it writes.
If a column with 20 or fewer values holds personal information, those values reach our AI provider, so keep this in mind when you choose a file. Text you enter in the free run is sent to our AI provider to produce the result. Text typed in the box on our home page travels to the Workstation in the part of the web address after the # sign, which your browser does not send to a server.
5. How we use personal information
We use personal information to:
- provide and operate the Service, including your account, your content and your plan limits;
- take payments and keep financial records;
- keep the Service secure, prevent abuse and apply rate limits;
- respond to your messages, applications and bookings, and provide support;
- understand how the Service is used, and maintain, improve and develop it, including our AI features (section 6);
- create de-identified or aggregated information that does not identify you;
- send you product updates and marketing, as section 9 describes;
- meet legal obligations and enforce our Terms.
Where the law requires a legal basis, we rely on performing our contract with you, our legitimate interests in running and improving the Service, your consent, and legal obligations.
6. AI processing and model improvement
6.1 The Service uses third-party AI providers to read your content and produce results. Our current provider is xAI. We may change or add providers and will update this policy when we do.
6.2 Pro (business) workspaces: we do not use your content to train AI models.
6.3 Free and Starter accounts: we may use your content and how you interact with the Service to improve the Service, including to develop, evaluate and train our AI features. Where practical, we de-identify content before using it this way.
6.4 The AI in the Service proposes and you decide. We do not make automated decisions about you that have legal or similarly significant effects.
6.5 We may also use AI tools to help run our business, for example to research public information or draft messages that a person reviews before anything is sent.
7. Sharing
7.1 We share personal information with service providers that help us run the Service, under contracts or terms that require them to protect it:
| Type of provider | Examples |
|---|---|
| AI providers | xAI |
| Hosting and databases | Railway (data stored encrypted at rest) |
| File storage | Amazon Web Services |
| Payments | Stripe |
| Sign-in, email and scheduling | |
| Analytics | Plausible, hosted by us |
| Business tools for sales, support and operations | Such as ClickUp, Google Workspace and AI assistants |
7.2 We may also share information to comply with the law, to protect the rights, safety and security of people or the Service, or as part of a merger, acquisition or sale of all or part of the business.
7.3 We do not sell your personal information and do not share it for third-party advertising.
8. Cookies, browser storage and analytics
8.1 The Service uses your browser's storage for things it needs to work, such as keeping you signed in, remembering that your free run is used, and holding the rows of a CSV you attach.
8.2 We use Plausible, analytics software we host ourselves, to count page visits and button events. We do not use advertising cookies or third-party advertising trackers.
9. Marketing
We may send product updates and marketing messages to account holders and to people who have agreed to hear from us, as the law allows. Every marketing message includes a way to unsubscribe, and we honour unsubscribe requests.
10. Your choices and rights
10.1 You can ask to access, correct or delete your personal information, or to close your account, through the contact options on our website. We may need to verify your identity. We respond within the time the law requires.
10.2 When you close your account, we delete or de-identify your personal information and content, except what we need to keep for legal, tax, security or dispute purposes, and copies in backups until they expire. Committed Decision Records cannot be edited or deleted inside the product, and they are handled the same way when your account closes.
10.3 Depending on where you live, you may have further rights, such as to object to or restrict certain processing, to withdraw consent, or to receive a copy of your information in a portable form. You can also complain to your local data protection authority.
11. Retention
We keep personal information for as long as your account is open and as long as needed for the purposes in this policy, including legal, tax and accounting requirements, resolving disputes and enforcing our agreements. De-identified and aggregated information may be kept longer.
12. International processing
Our service providers may process information in the United States, Australia and other countries. Where the law requires, we take steps to protect information when it is transferred.
13. Security
Private by default. Stored encrypted at rest by our host, Railway.
"Private by default" means other users cannot see your content unless you share it. We use access controls to protect information. No system is completely secure, and we will notify you and regulators of a breach where the law requires.
14. Children
The Service is for business use by people aged 18 and over. We do not knowingly collect information from children.
15. Changes
We may update this policy from time to time. We will post the new version on this page with a new effective date, and take reasonable steps to tell you about material changes.
16. Contact
For privacy questions or requests, use the contact options on www.learningnodes.com.
